3) Search, Filter, and Sort Records

Select a Project

First select a Project. If you do not have any Projects, view the first getting started guide for more information.

Select a Collection View

With a Project opened, the Project Sidebar is displayed on the left-hand side of the page. The sidebar to provide access to Views with the current Project.

If the sidebar is not displayed, it may be collapsed. Either click the toggle sidebar icon at the left-hand end of the header or press Alt+S to toggle the sidebar.

There are a number of types of View (see the complete list here). Collection Views may be searched, sorted, and filtered, while other view types cannot.

Collection Views display a number of Records from a specified Collection. The following are Collections Views:

  • List Views
  • Kanban Views
  • Calendar Views
  • Grid Views (coming soon)
  • Gallery Views (coming soon)
  • Gantt Views (coming soon)

Add a Sort

With a Collection View selected, click the Sort button at the left-hand side of the View Settings Bar across the top of the selected View below the Project header.

A modal window is displayed where the current View's Sorts may be edited.

  • Add a sort by clicking the + Add Sort button in to top right corner of the modal
  • Edit the field used to sort the Records by selecting another field from the dropdown list of available fields
  • Toggle the sorting direction by clicking the button labelled Asc. or Desc.
    • This also indicates the current selection of either "ascending" (Asc.) or "descending" (Desc.)
  • Remove a sort by clicking the red "Trash" icon button

Click Save & Close to save your edits, or Cancel to discard any changes.

Sorts are saved in the View. This enables Records to be sorted in a consistent order each time a View is opened.

Add a Filter

With a Collection View selected, click the Filter button at the left-hand side of the View Settings Bar across the top of the selected View below the Project header.

A modal window is displayed where the current View's Filters may be edited.

  • Add a filter by clicking the + Add Filter button in to top right corner of the modal
  • Edit the components of a filter:
    • Select the Field to compare with the dropdown box on the left
    • Select a comparison operation with the dropdown box in the middle
    • Enter or select a comparison value with the input or dropdown box on the right
  • Remove a filter by clicking the red "Trash" icon button

Click Save & Close to save your edits, or Cancel to discard any changes.

Filters are saved in the View. This enables a specific subset of Records to be displayed in a View.

Search for Records

With a Collection View selected, click the Search button at the left-hand side of the View Settings Bar across the top of the selected View below the Project header. A Search popover is displayed where a search can be entered to find Records.

  • Enter a search term in the Search by title input box to filter Records by their title.

Searches are not saved in the View. Searches enable you to find a specific Record quickly, but do not change the View's settings.
